Post room and porter services
Post room and porter services
The Post Room is responsible for sorting all incoming mail that arrives on campus each day and operates a post van service to transport mail between campuses. All post is distributed to departmental pigeon holes which are located in the Post Room and require daily collection.
See more details of the post van service on the intranet. Please note you will need to be logged into Sharepoint to view this page.
Outgoing mail
The Post Room is also responsible for franking all outgoing mail. It is our policy that all post, unless it is an urgent item, should be sent 2nd class and in an appropriately sized envelope. Postal charges are now based on size as well as weight and your assistance in following these guidelines would be greatly appreciated and helps us to keep costs to a minimum.
For further details on postal charges please visit Royal Mail.
Overseas mailing
The University use a company called DST for all international and overseas mailing. All items must be correctly packaged with careful consideration given to the prohibited items list (pdf). Please ensure you complete the Customs Declaration form (xlsx) making sure to sign it and attach it to every envelope, packet and parcel you would like sent. The post room will not accept any items for overseas mailing which do not have the correctly completed paperwork attached.
The UEL postal system is for UEL business only, and not for personal items. All items being sent for overseas mailing are subject to X-ray and images which do not match the customs declaration are flagged for opening. Any items identified as private items or containing items from the banned list will be retained in the post room and traced as far as possible back to their owner, which can take some time and may result in further action being taken.

Porter services
The Post Room is responsible for coordinating the General Assistants who provide a porter service and are able to help transport heavy or awkward shaped goods around and between campuses. All General Assistants are fully trained in manual handling and it is highly recommended that you request their services rather than attempting to move the goods yourself.
To request porter services please contact the Estates and Facilities Services Helpdesk (ext 2000) (Sharepoint link) and we will book in your request. We will endeavour to prioritise jobs appropriately but it is recommended that you provide at least 48 hours notice where possible.
