UEL takes the privacy of your information very seriously and is committed to protecting and respecting your privacy. This privacy policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.

Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

Overarching Policies and Privacy Statements

The South East New Energy Project ('SENE') is led by UEL and by visiting uel.ac.uk/sene you will be subject to the UEL Privacy Statement – a general Statement for our entire website including our use of Cookies, and also links to our Data Protection Policy

In addition to the UEL Privacy Statement, there are specifics required for the delivery of the SENE Project

What will we collect for SENE?

Contact details and any other information provided from forms you fill in, third parties acting on your behalf or publicly available sources.

Any information required to fulfil our contract with the Secretary of State, and the Managing Authority: Ministry of Housing, Communities and Local Government ('MHCLG'). MHCLG will also refer to Secretary of State for the purposes of this Policy.

Where do we store your data for SENE?

For South East New Energy data, we store our information on Microsoft-powered servers using Office365 (via Teams, SharePoint and OneDrive for Business). These Microsoft services are GDPR compliant and will be used by European partners only so are not subject to EU-U.S. Privacy Shield requirements. More information on Microsoft's Privacy Statement.

We will also store project data on UEL's own servers for the purposes of backup for audit. These are restricted to specific teams who require access for relevant audit and compliance purposes.

Third parties and your SENE Data

As the SENE Project is made of 8 partners in total we may share your information with other companies involved in the project in two ways: (1) Limited scope (e.g. name of company, location) for avoidance of doubling efforts and (2) More detailed scope in connection with carrying out our services for you where an appropriate partner has been identified.

We will use your information subject to the processing conditions in the UEL Privacy statement (e.g. for compliance with a legal obligation, performance of a contract, or a legitimate interest where appropriate partners are involved).

The project data is also subject to audit and review by the Department for Levelling up, Housing and Communities for the European Commission's European Regional Development Fund (Privacy Notice here) and as such may require sharing with such parties for the purpose of fulfilling legal obligations.

Data Retention Period for SENE

To comply with ERDF Guidelines on Document Retention (includes Electronic Data Exchange), the data must be kept for 10 years after the last aid is granted under the scheme. For ERDF Projects, the last aid may not be granted under a scheme until 2023 meaning that documents may need to be retained until 2033, with the final specific date yet to be determined.
