All staff and students will need to register for Multi-Factor Authentication (MFA) before they can access their UEL account. This page explains what MFA is, why it is needed, and how to set up a primary and secondary method of authentication.
About MFA
What is MFA
Multi‑Factor Authentication (MFA) is an extra layer of security that helps protect your UEL account and personal information. Instead of relying on just a password (which can be guessed, stolen, or reused across multiple sites) MFA requires two or more pieces of evidence to confirm that it’s really you. These factors typically include:
- Something you know (a password or PIN)
- Something you have (an authenticator app or mobile phone)
- Something you are (a fingerprint or facial recognition)
With MFA enabled, even if someone gets hold of your password, they still won’t be able to access your account without the second verification step.

How to set up MFA
We recommend using a computer when you log into your UEL account for the first time. Log in using the email address and password provided, and you will be prompted to install Microsoft Authenticator to secure your account. Steps for changing your password and setting up MFA will be provided on screen – read each step and follow the instruction.
We strongly recommend using Microsoft Authenticator as it provides the quickest and most secure way to authenticate. The app is attached to your device and is much harder for a cyber attacker to intercept than a code sent via text message. However, if you are unable to install the Microsoft Authenticator app for any reason, the text message option can be used as an alternative. If you do not have a mobile device, you can select the option to receive a phone call to a land-line.

Add a secondary (back-up) method of authentication
We advise setting up one or more back up methods of authentication. This will avoid being locked out of your account if your preferred method is not available (e.g. you lose your phone). Back up options are:
- Microsoft Authenticator installed on a second device
- A telephone number (mobile or landline).

Frequently Asked Questions (FAQs)
Can I register for MFA when outside of the UK?
Yes, you can.
If you are a student and wish to enrol from outside of the UK, you will need to log in and change your password first. Instructions will have been sent to your personal email. After you have changed your password, you can set up your authentication method. We recommend doing this as soon as possible to ensure that your UEL account is secure.
Will I need to authenticate every time I log on?
No, you will be asked to authenticate periodically and particularly if you are logging into a different device or a new browser. When authenticating, you can tick the box ‘don’t ask again for 14 days’ which will save the authentication to the device you’re using for two weeks.
My Authenticator app has popped up asking me to enter a number but I’m not trying to log in. What should I do?
Choose ‘No it’s not me’ on the app. This will immediately stop anyone trying to access your account, even if you’ve set up a secondary (back-up) method of authentication.
I want to change the MFA security method or update my details
You can add a new type of authentication or update your details by visiting mfa.uel.ac.uk. You will need to authenticate to do this.
Can I add Microsoft Authenticator on a second device?
Yes. We do recommend that you register more than one device in case you lose access to your primary device. You can register the Authenticator app on multiple devices, such as a tablet or spare mobile phone. The tablet does not need a SIM or data connection. You can register an additional device by visiting mfa.uel.ac.uk.
My authentication is set up using the Microsoft Authenticator app, but I now have a different device. What should I do?
- If you have already set up a secondary (back-up) authentication method, e.g. a mobile phone number, you can use this temporarily to gain access to your account by selecting ‘I can’t use my Microsoft Authenticator app right now’. You’ll then have the option to receive a code via text message or call. Once you have access to your account, visit mfa.uel.ac.uk to delete your old device, then click ‘Add a new sign in method’ to add Microsoft Authenticator for your new device.
- If you do not have a secondary method set up, you will need to have your MFA reset. Students must contact the Student Hub; staff must contact the IT Service Desk. Once the app has been set up on your new device, we recommend setting up a secondary (back-up) authentication method. Details are provided at the top of this page.
My authentication is set up using my mobile phone number, but my number has changed. What should I do?
If you are using a telephone number as your primary method of authentication, you will need to get a reset. Students should must contact the Student Hub; staff must contact the IT Service Desk.
When your MFA has been reset, we strongly recommend that you install Microsoft Authenticator as your primary authentication method as this is more secure than text message. You can still set up your new telephone number as your secondary method only (in case you are unable to use your app).
I am going to be logging in abroad. What is the best MFA method to use?
We recommend you use the Microsoft Authenticator app as it will work without a mobile network service and will not incur any additional service changes. You can set the Microsoft Authenticator app by checking your MFA security settings at mfa.uel.ac.uk.
