This has everything you need to know about the year ahead, including all the committee roles and responsibilities, procedures relating to kit and equipment, requests for training, BUCS fixtures, travel, finance, risk assessments and incident reporting, club marketing and promotion, how to access your club e-mail account.

Code of Conduct

All UELSports Clubs agree when signing up to their membership to follow our code of conduct which can be found here: Code of Conduct

 

Club E-mail Accounts

It is vital clubs access this account daily, in not responding you are potentially missing out on new members and leaving the wrong impression about sports provision at UEL and your club.

To access the account, you need to change the word ‘sport’ at the end of the link below to your specific sport (note some are abbreviations and these can be found in the club handbook).

Once you have done that and clicked on the link (or copied and pasted into your web browser) you will then be asked to enter your UEL login details (username + password).  Should you have any problems connecting to your account contact the Sports Development Officer immediately.

Any club wanting to add another committee member to have acess to the account must contact the Sports Development Officer with the students full name and student I.D number.


Travel Reimbursement

To claim back travel expenditure complete the attached form detailing the below:

The team and sport you played in, the date(s) of the fixture(s) and the stations where you started (either Cyprus or Stratford) and the station you went to.  Once you have completed the form bring it along with the ticket or receipt as proof of travel on that day for approval by the Sports Development Officer in SportsDock.  Travel Reimbursement Form

 

Minibus Booking Form

All UELSports Club are eligible to access the UELSports minibus throughout the year for BUCS fixtures and additional club trips.  There is a booking procedure to be followed Booking Procedure and the booking form must be fully completed and sent to the Sports Development Officer before the booking if confirmed. To be eligible to drive the minibus the driver must satisfy all 3 of the following points:

1 - Aged 21 years or older

2 - Been driving for more than 2 years

3 - Clean licence (no points)

 

Request for Additional Training Sessions (SportsDock)

Any club wishing to request additional training times in SportsDock can do this very simply.  The times available are Monday to Friday off peak (till 16.20pm) only.  The process is very simple:

1 - Ask at SportsDock reception of the availability.

2 - Complete the booking form Additional Club Training Request

3 - E-mail the booking form back to the Sports Development officer k.hollands@uel.ac.uk

4 - Requests must be given with a minimum of 48 hours notice prior to the start of the requested session, anything less than this will not be accepted

5 - Submission of request is not confirmation it is booked.  Requests will be considered and an answer will be fed back as soon as the centre manager has made their decision.

 

Risk Assessment & Accident Reporting

All UELSports clubs must complete a risk assessment for their club to be allowed to do any activity both on and off campus.  The completed form must be e-mailed back to the Sports Development Officer prior to any event. Risk Assessment Form

When an accident happens it is essential for clubs to report it straight away.  This is done by fully completing the accident report form and sending a copy to the Sports Development Officer. Accident Report Form

 

Club Budget Management

UELSports Club treasurers must maintain a spreadsheet to ensure there is an accurate record of any monies they handle.

Club Development Plans

UELSports ask all clubs to complete a club development plan to ensure both the club and UELSports understand and are working together to ensure the best and most successful future for the club. Club Development Plans
