Using the Archive
Archive Rules
The following rules must be considered when working within The Refugee Council
Archive at UEL:
- Please sign the Visitors Book on arrival.
- Smoking and the consumption of both food and drink are FORBIDDEN in the
Archive.
- Please respect other researchers when using the Archive and try to keep
the noise down. Remember to switch your MOBILE phone off when entering the
Learning Resources Centre and the Archive.
- The Refugee Council Archive at UEL is a reference only collection, so please
bear in mind that none of the items found in the Collection will be available
for loan. Items may only be removed from the Archive under any circumstance.
- The materials in the UNHCR Audio-Visual Archive however ARE available for
loan. If wish to take items out then you will need to complete a UNHCR Loan
Form. Please see the Archivist for further information.
- Photocopying - To photocopy items from the Collection, please complete
a RED Form and hand this to the Archivist prior to photocopying. Restrictions
on Photocopying apply in relation to Copyright and in some cases, the fragile
nature of the items in question. Researchers are reminded to be considerate
when photocopying materials as this process is ultimately harmful to the
materials. Please consult the Archivist if special copies need to be made.
- Requesting Items - All items are free to browse in the Archive..
- Please try not to mark any of the items being used. Materials should not
be written on, marked, altered, leaned on, folded anew, traced or handled
in such a way as to cause damage. If you notice any damage to an item then
please info rm the Archivist immediately. Any item that needs correcting
or you have further info rmation pertaining to that item, tell the Archivist.
Please handle all materials with the care they deserve.
- Please handle boxes of items carefully. We would ask that you only examine
one box of material at a time and please try not to mix the contents of boxes
as this can lead to confusion for future researchers. If you do find a discrepancy,
then please consult the Archivist rather than try to rectify the problem
yourself.
- The Archive reserves the right to restrict the use of materials which are
not catalogued, are being catalogued or which are exceptionally valuable
or fragile. Duplicates may be provided where practical.
- Publishing from the Archive: Materials used from the Collection for publication
should always acknowledge The Refugee Council Archive at UEL for the use
of the materials. This includes all printed matter and photographs within
the Collection subject to the discretion of the Archivist.
- Researchers using the Archive must assume full responsibility for their
compliance with any copyright, libel or literary property rights which are
applicable to their use of materials in both the Archive and the Learning
Resources Centre.
- Displays: Materials from the Collection may not be displayed, either in
part or in full, without the written permission of the Archivist. All materials
which are subsequently displayed must be credited to The Refugee Council
Archive at the University of East London .
- Once you have finished your research, please return all the materials to
the member of staff in charge. Researchers will remain responsible for the
materials they are using until they have been received and inspected by the
staff member. For security purposes, staff reserve the right to inspect all
research materials brought into the Archive room.
- The Archivist reserves the right to refuse access to any individual who
has endangered the safety of the Archive Collection through either carelessness
or deliberate action. Access may also be considered when an individual fails
to comply with the above stated rules.
