Health & Safety Policy Statement for Corporate Marketing
- The policy of Corporate Marketing (referred to as 'the Service' in the following) is to promote the safety, health and welfare of all its staff, visitors, contractors and members of the public on Service premises and to protect them elsewhere from any adverse effect on their health or safety arising from Service activities.
- The Service is committed to ensuring that risk assessments are carried out as required by the Management of Health and Safety at Work Regulations 1999 and other regulations. These risk assessments will be made by the staff responsible for the work, set out in writing and signed by the relevant manager or Safety Co-ordinator. No work is permitted to start unless it is covered by a suitable and sufficient assessment of the risks involved in the work.
- The Service arranges for all work activities to be performed by persons competent to perform those activities. To this end, the Service is committed to ensuring that all members of the Service receive such training as required for them to be able to discharge their tasks and duties in a competent manner.
- The Service arranges for staff activities and work activities to be supervised by competent people.
- A person can only be competent in discharging a duty if they accept that duty, understand what is required in performing it and if allocated sufficient time to be able to discharge it.
- The Service is part of the University of East London, and as such is responsible to the Vice-Chancellor, through UEL's Health and Safety Committee, for the implementation of the arrangements in our University's Health and Safety Policy.
- It is a legal duty for ALL staff and visitors in the Service to co-operate with the arrangements for safety set out in this document.
- The organisation for carrying out the policy in this Service is based on delegation to particular staff, as follows:Key Safety Personnel in the Service

The organisation and arrangements as described in this Policy have been approved and authorised by the Director of Service, upon whom rests the ultimate responsibility for the standard of safety within the Service.
- Formally delegating tasks and their associated record keeping aspects, to key individuals such as the Service Safety Co-ordinators
- Developing a Service Health and Safety Policy with the help of the Service Safety Co-ordinator (described below).
- Seeking, receiving and taking health and safety advice from UEL's Occupational Health and Safety Manager and Assistant Manager as appropriate, and from the Service Safety Co-ordinator or other Service safety staff as appropriate.
- Although the Service is low risk, nevertheless Health and Safety is a standing item on the agenda of the Service Management Team.
- Establishing good lines of communication between all persons concerned.
- Encouraging, supporting and where necessary requiring the attendance of appropriate members of the Service on relevant internal and external health and safety training events.
- Making full use of the technical knowledge, professional advice and skills available.
- Allocating the necessary resources - both in terms of time and money - to staff with particular health and safety responsibilities (described below).
- Devising and implementing phased order of priority plans for expenditure of finance or effort to solve problems which cannot be resolved at one particular time.
- Supporting the carrying out of Service risk assessments and acting on any significant findings identified.
- Monitoring the health and safety tasks of the Service, such as inspections, ensuring they are being carried out to a satisfactory standard.
- Taking personal action - or empowering members of the Service staff to act - to suspend or stop any Service activity that is dangerous or not carried out within Service health and safety policy.
- Co-operating fully with our University's monitoring, auditing and review arrangements as they affect the Service, as indicated by the Occupational Health and Safety Manager, Assistant Manager or Service Safety Co-ordinator.

The Service Safety Co-ordinator must:
- Be familiar with our university's Health and Safety Policy and the Service Policy.
- Periodically review health and safety procedures within the Service.
- Advise and assist the Director of Service on any revision of the Service Health and Safety Policy.
- Disseminate health and safety information and reports and pass such reports to appropriate members of staff in the Service.
- Help to ensure that adequate precautions are taken regarding any special hazard in, or about to be introduced into the Service.
- Assist in conducting or co-ordinating systematic health and safety inspections and accident investigations to identify unsafe or unhealthy conditions or work practices, ensure preventative action is recommended.
- Help to monitor that equipment and, if necessary, that processes within the Service are being maintained, as required by any relevant statutory provision, and that staff are suitably informed, instructed, trained and supervised to avoid risks to their health and safety.
- Maintain adequate health and safety records where appropriate, as required by relevant statutory provisions or University or Service Safety Policy.
- Monitor to ensure a high standard of housekeeping is maintained within the Service.
- Monitor that sufficient suitable personal protective equipment is available and used.
- Act with the delegated authority of the Director of Service in matters of urgency.
- Refer promptly to the Director of Service or UEL's Occupational Health & Safety Manager or Assistant H&S Manager any health and safety problems in the Service which cannot be resolved locally.

9. The following list of Health and Safety policies (available on our website http://www.uel.ac.uk/hs/hs-handbook.htm) is relevant to our Service:
- Risk Assessment – Carried out for all events that the Service undertakes or manages. General office risk assessments carried out for all team and general areas. Forms kept in a central file on the computer network (D94\Data\Health & Safety\Risk Assessments)
- Electrical equipment - inspection and maintenance procedures. PAT testing takes place on an annual basis for all electrical equipment other than PC’s which are assessed every 2 years.
- Work equipment - inspection, maintenance and repair procedures in place
- Personal protective equipment - procedure for issue, maintenance and repair
- Manual handling - safe work practices and all staff undertake mandatory training
- Hazardous substances - risk assessments and control strategies
- Emergencies and fire - good housekeeping to ensure gangways, traffic routes and fire exits are unobstructed. Fire and emergency notices and procedures throughout offices.
- First aid - first aiders to maintain boxes and supervise use of and replenish stocks
- Statutory notices - displayed where relevant.
- Display Screen Work – staff advised to undertake online DSE tool and VDU workstation checklist and to report any problems arising from assessment
- Accident Reporting – incident forms completed and sent to relevant person for further action if required
- Health & Safety at Work poster
- Office Safety – safe work practices and regular ad hoc inspections
- Lone Working: desk work is a permitted solitary duty however with the exception of staff with management responsibilities it is not the policy of the service that staff should work by themselves in the office before 07:00 or after 20:00.
- Personal Security – all staff have been given the opportunity to have a personal security alarm. Alarms are also situated in the reception area and desk for use in emergencies or difficult situations
- Interviews with Students: All staff should treat our students with courtesy and respect and expect to receive courtesy and respect in turn. If students become agitated or emotional staff should endeavour to remain calm. All staff are empowered to terminate telephone conversations or cease face to face conversations which it is not possible to continue under this guidance. Wherever possible interviews with students should be conducted within sight of other members of staff. Where staff go to a closed interview room for a conversation with a student they should alert another member of staff of their departure and the place and expected duration of the interview. After the interview the interviewer should confirm their return to the alerted member of staff. Where members of staff do not return by the anticipated time, the alerted member of staff should check the well being of the interviewer.
- Health and Wellbeing – staff encouraged to take part in university events and training to aide both physical and mental wellbeing. Management actively encourages staff to discuss work related stress and to help resolve and/or manage problems by undertaking relevant training, flexible working within restraints of responsibilities, referral to Occupational Health Advisor to assist with problems that are beyond the expertise of manager and encouraging team building, communication and networking.
- Equality & Diversity – Service actively encourages staff to take part in university events and training. The following staff are E&D representatives for the Service:
10. It is a legal duty for all staff; students and visitors in the Service to co-operate with the arrangements for safety set out in this document.
11. This policy is intended to reflect the current state of affairs within the Service. To this end, it will be revised upon any substantial change of organisation or arrangements within the Service, and will be reviewed in any case, annually. This policy and its revisions will be communicated to all Service staff.

Minor accidents involving injury:
If the First Aider advises it, escort the patient to nearest Accident and Emergency Unit of a hospital.
