Book a room on campus

Timetabling and Room Bookings provide an ad-hoc room booking service across three sites:  Duncan House, Docklands and Stratford Campuses.  Requests for ad-hoc bookings should be made your School or Service authorised room booking representatives via Room Booker.  General queries regarding ad hoc bookings should be sent to timetabling@uel.ac.uk

Claim expenses

It is our policy that members of staff will be repaid the actual cost of expenses incurred wholly, exclusively and necessarily in the performance of their duties at UEL.  When claiming expenses, please take care to complete the correct form depending on what you are claiming for, as advised in the Expenses Policy

Where a particular expense is not shown or you have any queries, you should speak to an authorised signatory from your School or Service. 


 

Commission a publication

Each School and Service can commission a publication, such as a flyer or brochure, through the Student Recruitment Marketing team, which is based within the University’s Corporate Marketing department. Each School and Service has a dedicated account manager within the Student Recruitment Marketing team, who is responsible for managing the production of these publications.

Get a bike through the Cycle to Work Scheme

To promote healthier journeys to work and reduce environmental pollution, UEL offers the Cycle to Work Scheme.  This enables staff to purchase a new bike by entering into a hire agreement with UEL over an 18-month period without having to pay tax or National Insurance on payments.   More details on the scheme can be found in the UEL Cycle to Work Scheme

Promote a job vacancy

Please refer to the Policy on recruiting and selecting staff for full guidelines regarding recruiting new staff.



Raise a purchase order

Every department will have a slightly different process for raising purchase orders, however, the basic process remains the same in terms of information required.

You will need to raise a purchase order before ordering any goods or services. You will need to provide the following information to the member of staff within the School/Service who is responsible for raising purchase orders:

  • Supplier name
  • If the company is already set up on Agresso (payment system)
  • Type of product or service
  • Details of order e.g. item, quantity, cost per item
  • Total cost and whether VAT is payable
  • Project code to be charged

Once this information has been entered onto Agresso, it will generate a requisition number which will then go to management for approval. 

Once approval has been obtained, you will receive a purchase order number and will be able to place your order.



Report a maintenance problem on campus

If you have noticed potential maintenance issues on campus that require attention or repair, such as leaks, obstructions or damaged utilities, you can report the problem to the Maintenance Team Helpdesk on 020 8223 2000 or maintenance@uel.ac.uk

The Helpdesk is open from 9am – 5pm, Monday – Friday, except Bank Holidays and University-wide closures.

If the problem poses a potential threat to persons on-site or to the University buildings or grounds contact the Security Team on 020 8223 7771. Please note this is an emergency telephone line, which is available 24 hours a day.


 

Report a security problem on campus 

The University's Security Team is responsible for maintaining a safe and secure environment for students, staff and visitors.

To report a campus security issue, including thefts and lost property, to the Security Team contact:

If you notice a potential threat to the University's security which requires immediate attention contact the Security Team on 020 8223 7771. Please note this is an emergency telephone line, which is available 24 hours a day.


 

Request a business card

Staff can order personalised UEL business cards through the University’s Print Centre.

All you need to do is fill out a Print request form, including the full details you would like to appear on the card, and email it to print.centre@uel.ac.uk

Once complete, the Print Centre will deliver your cards internally or you may pick them up from the Print Centre at your convenience.  Production times may vary, however orders for business cards are usually met within one week.

Request a plasma TV notice

You can publicise your message on the plasma TV screens across all three campuses.  Please use the 'internal communications request' form on the inFocus portal homepage to submit your request by email to the Corporate Communications team at communications@uel.ac.uk



Set up voicemail on your phone

Below is a basic guide to using voicemail on your telephone. Click here for full instructions on acessing key voicemail functions.

Activating and accessing your voicemail:

  • Activate voicemail by pressing **1. Deactivate Voice Mail by pressing **0
  • Access voicemail internally from your University telephone by dialling 6666.
  • Access your voicemail from another internal telephone by dialling 6666*# followed by your 4-digit extension number.
  • Access voicemail from an external telephone by dialling 020 8223 6666.
  • Once you have accessed your voicemail, a prompt will request your security code (the default security code is 0000).

 

Transfer phone calls

Internal and external calls can be transferred to another extension within the University.

To transfer a caller, press 'inquiry', dial the four-digit extension number you are transferring the caller to and then press 'transfer'.
