A. The majority of new ID cards are being issued to staff between the 26 September and 26 October 2011 (some cards were issued prior to this to assist with the checking of the system).
You can pick your card up from the Security Receptions at the Docklands and Stratford Campuses between 9 am and 9 pm, Monday to Friday, excluding Bank Holidays between the 26 September and the 26 October 2011 (except if you need a new photograph).
If you are a member of staff based at Duncan House you will need to pick up your new card up from the Duncan House Reception between 9 am and 9 pm, Monday to Friday, excluding Bank Holidays between the 26 September and the 26 October 2011.
If you are a member of staff who has been advised that you need a new photograph on your ID card (you will have received a personal email from IT Services if this applies to you) please visit the Security Receptions at Docklands or Stratford between 9 am and 7 pm, Monday to Friday. Duncan House staff that need a new photograph on their ID card will need to go to the Stratford Campus as there is no facility to print cards at Duncan House.
A. You can get a new or replacement ID card from the Customer Services Receptions at Docklands or Stratford between the hours of 10 am and 4pm, Monday to Friday, excluding Bank Holidays.
A. If you are a member of staff you should have access to most buildings and areas.
If your new ID card will not work on any of the access control readers please bring the card in person to the Customer Services Reception located by the DLR entrance to the Docklands Campus or the Main Reception in the Conference and Computer Building, Stratford Campus, between 10 am and 4 pm, Monday to Friday (excluding Bank Holidays). Your card can then be reprogrammed.
If you are on a fixed term contract which has expired your access rights will automatically terminate. If you contract has been extended please check with HR Services to ensure they have updated the HR system as this data is used by the access control system. Once the HR system is updated your card can be reprogrammed at the Security Reception desks at the times noted above.
A. If you are unable to access a specific area please check with your Line Manager to confirm that you have permission to access this area. Your Line Manager can download a copy of the ‘Additional Access Control Request Form’ from this website which they will need to complete to confirm that you should be given additional access rights on your card. Please take a hard copy of the completed form to the Security Reception, ground floor of the East Building, Docklands Campus or the Main Reception in the Conference and Computer Building, Stratford Campus, and they will update your access rights. Up to the 26 October 2011, you can do this between the hours of 9 am and 7 pm, Monday to Friday (excluding Bank Holidays), after the 26 October you can do this between the hours of 10 am and noon and 4pm and 7pm, Monday to Friday, excluding Bank Holidays.
It is essential that the Authorising Manager’s details and signature are completed on the form; failure to do so may lead to a delay in production of an access card.
A. As soon as you think you have lost your card or it has been stolen, please call Campus Security on 020 8223 7771 (24 hrs a day) to report the loss, so we can deactivate the card immediately. This will prevent it being used by a third party.

If you subsequently find your card it can reactivated if you bring it along to Security Reception. However, if you have already been issued with a new card the old card can not be reactivated and you should destroy it or hand it into Security who will ensure it is destroyed.
A. Yes. You should be issued with both a UEL staff ID card, and a UEL student ID card.
A. Please return the card to your Line Manager on the day you leave the University. Line Managers should return the card to the Security Reception at Docklands or Stratford as a matter of priority.
A. In November 2011, the access control readers on doors are being changed from ‘swipe’ card readers to ‘proximity’ readers. Up to the end of October 2011 there may be both types of readers and to gain access you will need to either:

Students are also using their ID cards to record their attendance with proximity readers in each classroom and there are FAQs on the security services web pages giving information on this.
From November 2011, all readers will be proximity readers.
A. If someone else finds your card and it has not been deactivated they can use it to access university buildings. Should your card be stolen or lost you must contact the Campus Security immediately to have the card deactivated. Should you find the card before a new one is created, your old card can be reactivated. The process of printing a new card cancels the old card from the system.
A. The access control system has a DDA compliance facility that can be activated on your card to allow you more time to enter through a door. Please let Security know you require this facility when you pick up your card at Reception.
A. You should not lend your personal ID card to another member of staff. Some readers are fitted with an anti pass back function. This prevents a card being re-used on the same door within a certain period of time (similar to the Oyster system on London Transport). If you have forgotten your card please go to Security who will be able to issue you with a visitor’s card for the day pending the production of acceptable ID. This visitor’s card should be returned at the end of the day or a charge of £10 may be made to your School/Service. The card will be deactivated after 24 hrs.
A. UEL are committed to ensure its campuses are safe for all the members of its community. Identity cards are issued to all staff and students at the time they join us. Staff and students are required in their own interests to wear the cards visibly at all times. Anyone not wearing a card can be expected to be challenged by security and other staff and may be refused access.
A. No – UEL staff wishing to use the Sports Dock facilities will need to become members in the normal way but your ID card will give you access into the building.
