UEL Olympics bulletin

Welcome to the UEL Olympics bulletin packed with essential information you need to know ahead of the 2012 Games. Please note that you can also read the full list of staff FAQs online.

Working arrangements

During games-time we do not expect staff to undertake work outside their normal duties unless already arranged with their manager. Some staff with appropriate skills may be asked to work in alternative roles during the Games, as arranged with their manager.

Taking annual leave

                 
 

Facilities available on campus:

The Bite at Docklands will be open from 7am until 7pm and The Green at Stratford will open from 8am until 3pm

Facilities closed during the Games:

Libraries will be closed from 27 July - 12 August. Books will be loaned from 9 July to 1 October to cover this period.

SportsDock will be closed from 8 July to 15 August. It will reopen to staff and the general public on 16 August.

No residential accommodation.

Additional leave:

If you are required to work on campus during games-time you will receive special leave (three days annual leave plus two days on a UEL-sponsored volunteer programme). Please see the staffing policy for further information.

   
   
 

Working remotely

Staff not taking annual leave during games-time and not required to work on our campuses are required to work remotely.

The new Olympic remote access service is now live and you should have received an email with information on how to access the new system. Please contact the IT Service Desk if you have not received this information.

   
   
 

Will it be a good time to take annual leave?

UEL is encouraging all non-essential staff to take annual leave during the period 27 July to 12 August 2012.

Please remember to set your 'out of office' notifications on email and voicemail and switch your computer off if you are going on annual leave.

   

Campus access

You should by now know if you are required to be on campus during games-time (27 July -12 August). If you are unsure, please speak to your line manager.

  • From the beginning of July, our Olympic guests will begin to take residence at Docklands and Stratford campuses.
  • Those not required to be on campus should avoid coming into to the university during games-time. If you have an urgent reason for coming onto campus, you will still be able to do so but please note that no parking will be available.
  • Only UEL staff will be able to access campus (not family or friends).
  • Only staff who have been allocated games-time parking will be allowed to park on campus.

Accommodation on campus

Unless already arranged with your manager, there are no rooms available to book on campus. If necessary, there will be emergency single sex dorms on the third floor of East Building, Docklands and R Building, Stratford. You do not need to book these and they will be cleaned every morning.

Transport

If you are working on campus, any disruptions to travel will be handled by managers agreeing flexible start and finish times where operationally possible to do so.

Text alerts

You can sign up for the FREE* text alert service, which will inform you of any local travel issues covering the period 1 July to 10 September. To sign up text 2012Docklands or 2012Stratford followed by your name to 88020. If you work across both campuses, you will need to subscribe to both.

Staff are encouraged to send any traffic issues through to these numbers.
*your phone provider may charge you the standard rate to subscribe.

Security

To ensure the safety of our visitors, staff and students during the Games, we will be making some changes to security. For more information, contact Dr Sandy Bell ext. 2375.

  • Only staff with a legitimate reason for coming onto campus during games-time (27 July - 12 August) will be able to gain access.
  • Access points will be manned by UEL staff who will be able to help if you need to gain access to campus temporarily.
  • Temporary fences and vehicle control measures have been put in place already and bag and vehicle searches may take place.
  • Please carry your ID card with you at all times. If you experience problems gaining access with your card, please speak to Reception.
